The HVAC Maintenance Checklist, From Someone Who Sees the Neglected Ones
The systems I replace at year 12 and the ones I service at year 22 came off the same factory lines. The difference is maintenance, most of which is embarrassingly simple, and a $12,000 replacement delayed by eight years is the best return on effort in home ownership. Here’s the honest version of the checklist: what you do, what you pay a pro for, and which parts of the maintenance industry are selling you theater.
The homeowner’s checklist
Monthly during heavy season: check the filter, change it when it’s gray. This one habit is half of all maintenance. A clogged filter starves airflow, freezes coils, overheats furnaces, and quietly inflates your electric bill, and it costs $8 to fix.
Each spring: hose down the outdoor condenser coils gently after cutting power, clear two feet of vegetation around the unit, and check that the condensate drain line runs clear. A cup of vinegar down the drain line beats a July ceiling stain from a clogged one.
Each fall: test the heat before the first cold night, not during it. Replace thermostat batteries. Walk the supply vents and make sure furniture and rugs haven’t annexed them.
Year-round: listen. Grinding, clicking at startup, or a compressor that hums without engaging are all cheaper this month than next month. A $150 capacitor caught early is a $1,500 blower motor avoided late.
The annual professional tune-up
Once a year, twice if you run heat pump heating and cooling hard, a tech should do what you can’t: measure refrigerant charge and superheat, inspect the heat exchanger for cracks, test capacitor values and amp draws, tighten electrical connections, and check combustion on gas equipment. That last one is a safety item, plainly.
A standalone tune-up runs $75 to $200. It earns its fee two ways: the failure it catches in October instead of January, and the efficiency drift it corrects. A system a half-pound low on refrigerant with dirty coils burns 10% to 20% more electricity to do the same job, invisibly, for years.
One honest caveat about the $59 tune-up special: it’s a lead generator. The tech is paid to find things, and some of what gets found is real while some is a capacitor “reading marginal” that had years left. Reasonable defense: take the cheap tune-up, decline same-day repairs over a few hundred dollars, and get a second quote on anything major.
Are maintenance plans worth it?
The $150 to $350 annual plans bundle one or two tune-ups with priority scheduling and a repair discount. The math is roughly a wash against paying per visit, so the decision is behavioral: if a plan means the tune-up actually happens, it’s worth it, and if you’re the type who books it anyway, skip the plan and keep the flexibility. The priority-scheduling perk has genuine value in peak season, when plan holders get the Tuesday slot and everyone else gets Friday.
The exception worth paying for: new equipment whose warranty requires documented annual professional maintenance, which is most of them. An unmaintained system with a failed compressor at year 6 can turn a warranty claim into an argument you lose. Keep the receipts with your tax records, same folder, same three-year habit.
What neglect actually costs
Efficiency decay of 5% per year is the standard industry figure for unmaintained systems, and while the precision is debatable, the direction isn’t. Call it a few hundred dollars a year on a typical bill. Lifespan is the bigger lever: well-maintained equipment routinely reaches 15 to 20 years while neglected systems die at 10 to 12, which amortizes to something like $500 a year of hidden depreciation. Against $100-ish of annual upkeep, there’s no version of the arithmetic where neglect wins.
And if the system is already old, maintenance buys you the thing money can’t rush: the ability to replace on your schedule, in shoulder season, with quotes compared and credits lined up, instead of during a heat wave with whatever’s on the truck. The sizing decision and the financing both go better with lead time.

Do heat pumps need different maintenance?

Can I skip the pro visit if everything seems fine?
For a year or two on a young system, probably nothing bad happens. The refrigerant and combustion checks are the ones with no DIY substitute, and “seems fine” is exactly how heat exchanger cracks present.
Is duct cleaning part of maintenance?
Rarely necessary and heavily oversold. Duct sealing, which qualifies for an air-sealing credit, fixes a real problem. Cleaning is for documented mold, pests, or renovation dust, not an annual ritual.
